Role Description

The Production team is the operational heart of IEFA, turning ideas, visions, and ambitions into real, coherent, and memorable experiences. We are looking for a Junior Project Coordinator Intern in Production and Logistics to join this core team. This internship provides full immersion behind the scenes of event production, offering real responsibilities, significant autonomy, and direct exposure to largescale international projects.

Key Responsibilities

Cultural Program

The cultural program provides entertainment for participants and marks the opening or closing of each conference day.

  • Develop mood boards and coordinate service providers
  • Select artists and cultural content
  • Contact, negotiate, and manage relationships with artists
  • Manage the cultural program budget
  • Coordinate technical and logistical requirements for performances

Space Planning and Management

Each event space has its own personality and purpose, which evolve according to the host city, partners, and programming.

Plan and set up two key event spaces:

o VIP Lounge (speakers, financial partners, potential partners, leaders)

o Participant Lounge (general attendees, contests, cultural program, networking cocktails)

  • Research and coordinate vendors (furniture, technical equipment, décor, etc.)
  • Collaborate closely with financial partners and suppliers
  • Create and present floor plans to management and partners
  • Track budgets for spaces
  • Oversee setup and teardown
  • Coordinate with the hotel or venue

Team Management

  • Large-scale events rely on well-organized and motivated teams.
  • Recruit, train, and manage volunteer and contractual staff
  • Organize schedules before and during the event
  • Participate in interviews
  • Supervise teams on-site (roles, breaks, training)
  • Ensure adherence to organizational standards, codes of conduct, and values

Profile

We are looking for a student, recent graduate, or professional seeking a part-time position in:

  • Project management
  • Event production
  • Logistics
  • Communications
  • or a related field…
  • Strong interest in events, business, and hands-on work
  • Excellent organizational and prioritization skills
  • Ability to manage multiple projects simultaneously
  • Strong written and verbal communication skills in French and English
  • Autonomous, resourceful, and proactive
  • Comfortable in dynamic, sometimes high-pressure environments
  • Proficient with basic digital tools (SharePoint, Excel, collaborative platforms)

Details

  • Compensation: From $18.50/hour (negotiable depending on profile and experience)
  • Schedule – Spring:

o Part-time: March 9 – May 22 (11 weeks, 3 days/week, 2 days on-site)

o Full-time: May 25 – June 16 (Including 1 weekend: June 6-7)

o Total duration: 14 weeks

  • Location: 606 Cathcart Street, Office 620, Montreal, Quebec H3B 4W6 (McGill Metro – Green Line)
  • Start Date: March 9, 2025

Important: Depending on organizational needs and performance, the internship may be extended for the Fall 2026 term (August 24 to December 18).
